Section 1-Meetings: A minimum of three (3) with a goal of four (4) General meetings shall be held during the school year on dates determined by the Executive Board.
Section 2-Majority: Attending membership shall constitute a majority for the transaction of all business of the organization.
Section 1-The Executive Board: The elected officers including the President, Vice-President/President Elect, Secretary and Treasurer; the appointed positions including the Ways and Means Chairperson, the Fundraising Chairperson, and the Volunteer Chairperson(s), the pastor, principal, faculty representatives, and immediate past P.T.O. President shall constitute the Executive Board.
Section 2-Meetings of the Executive Board: Executive Board meetings shall be held prior to general meetings and on an as necessary basis.
Section 3-Faculty Representatives: Faculty Representatives shall be decided at a faculty meeting on a volunteer basis at the beginning of each school year. One teacher shall represent grades Kindergarten through Fourth grade, and one teacher shall represent Fifth grade through Eighth grade.
Section 4-Authority: The Executive Board shall adopt an annual budget, have general administrative authority, and such power as voted by the organization, and approved by the school advisory council and the principal. New fundraising projects will be approved by the Executive Board and delegated to the appropriate position.
Section 5-Majority: Two-thirds of the Executive Board shall constitute a majority.
Section 1-The Board: The PTO Board shall include the following:
a) The Executive Board
b) PTO Committee members including the grade representatives from grades Kindergarten through Eighth grade and the Volunteer Committees.
Section 2-Meetings of the Board: Meetings shall be held prior to the General meeting or at other times as called by the President. Two mandatory meetings will be held. One meeting will be held in the fall semester, and one meeting will be held in the spring semester. Presence at General Meetings is requested.
Section 3-Majority: Two-thirds of the Board shall constitute a majority.
Section 4-Elections: The election of grade representatives to the PTO Board for grades Kindergarten through Eighth grade will be held at the Spring Parent's Meeting. Teachers for each of the grades will take nominations from the parent's present. The election will be by secret ballot. Parents are eligible to be a grade representative if their child/children are accepted into and will be attending St. Pius X school for the next school year.
Section 1-Membership Status: All representatives of PTO to include elected Board Members, Committee Chairpersons, and grade representatives must be members in good standing.
Section 2-Elected Officers: The elected officers of this organization shall be President, Vice-President/President Elect, Secretary, and Treasurer.
Section 3-Terms of Office: The President and Vice-President/President Elect may not serve in their respective positions for more than one consecutive term. (A term being from the last day of school in one year until the last day of school the following year.) No officer of this organization may serve more than three consecutive terms.
Section 4-Nominating Committee: The nominating committee shall consist of the grade representatives from grades Kindergarten through Seventh. The President will appoint the committee chair. The slate of officers submitted for nomination by the committee shall strive to be representative of the school community, and shall be approved of by the Pastor, Principal and current Executive Board prior to the election.
Section 5-Election and Term: Officers shall be elected at the spring general meeting. Election will be by a majority of the members present. The representatives for each grade level will be determined at the same time, and election will be by a majority of the parents of each grade level present. The term of office will commence at the end of the current school year and conclude on the last day of school the following year as noted in Section 3 of this Article.
Section 6-Duties of the Elected Officers
a) President: The President shall direct PTO and preside at meetings of the organization and executive board; assure PTO is represented at School Advisory Council meetings; shall appoint chairpersons of committees with the approval of the executive board; authorize expenditures with the Treasurer; the President, ex-officio, is a member of all committees; and shall act as an advisor for the incoming board during their term.
b) Vice-President/President Elect: The First Vice-President shall preside at all meetings in the absence of the President; shall organize speakers, and programs including flyers advertising PTO events; shall schedule PTO meetings and locations; shall notify all Board members of meetings and events; shall authorize expenditures in the President's absence with the Treasurer, and shall be incoming President.
c) Secretary: The Secretary shall be custodian of the records and the membership of the organization; shall keep an accurate record of all meetings, transactions and attendance and shall furnish a copy of the same to the President prior to the next meeting; shall maintain accurate and current copies of the bylaws; shall handle all correspondence from the organization, i.e. to the St. Pius X web site, Pastor and Principal; and shall conduct and read correspondence for the organization as directed by the President. The Secretary shall provide information from P.T.O. to welcome new students, their parents, and new teachers, and shall assist the First Vice-President in producing any flyers advertising PTO functions, and shall handle other organizational responsibilities.
d) Treasurer: The Treasurer shall receive all monies and record receipts and expenditures that are authorized by the organization under the direction of the President; shall collect dues and account for all funds; shall make a monthly statement of collections and disbursements at each meeting; shall maintain a ledger; shall assist the Secretary in maintaining an accurate list of membership; and shall maintain a current, accurate list of paying members. The Treasurer shall establish an operating budget for the following school year.
Section 7-Duties of the Faculty Representatives: The faculty representatives shall report back to the rest of the faculty about the activities of PTO; and shall report the needs and questions of the teachers to the PTO Executive Board. If possible this is a year long commitment.
Section 8-Reports: All officers and chairpersons shall keep a written, detailed, and complete report of each project or activity to be passed on to the new officers and chairpersons by the end of the school year.
Section 9-Responsibility: Any officers or chairpersons failing to carry out properly the assigned duties, or who is absent three (3) consecutive meetings (regular and executive committee meetings inclusive), can be replaced at the discretion of the Executive Board.
Section 1-Mass: The Holy Sacrifice of the Mass shall be offered on the Feasts of St. Pius X and of St. Joseph for the intentions of the members of the organization.
Section 2-Patron Saint: The patron saint of PTO is Saint Joseph the Patron of Workers.
